Provincial Board Meeting Minutes of May 8, 2005
1. Meeting
called to order by Mike Evans at 10:15 AM
2. Attendance
Well attended. Mike Evans thanked all for attending.
3. Minutes
of the February meeting were read by Scott Grundy, Randy Roloson made
a motion to accept the meeting minutes as read and was seconded Gord Pye.
All were in favor and Motion Was Passed.
4. Financial
Report
Scott Grundy presented a financial statement to the group and reported
that there was an account balance of $21,200.20.
Reported that a couple 10% gun raffle rebate cheques were still outstanding.
Tom Howe made a motion to accept the financial report as presented and
was seconded John Todd. All were in favour and Motion Was Passed.
5. Old Business
· Calling Competition -
Timberline Strutter's Chris Patty, in cooperation with North Hastings's
Chapter,
will host national calling competition. Some financial responsibility
will be required by the Provincial Board to make this event successful.
· RD
Expense -
Kevin Townsend purchased a wireless microphone system for use at banquets
within the budget approved at the February board meeting.
· National
JAKES Event -
Only nine names were submitted for the draw to send a JAKE to the
National JAKES day. Rick Dafoe's chapter, Kawartha Wild Turkey's, Daniel
Heath was the successful candidate.
· Chapter
President's Day -
A chapter president's day will take place on September 10, 2005.
Planned events are a sporting clay shoot and barbeque which be held at
the Otter Valley Rod & Gun Club.
Tom Howe will host overnight camping, fishing and meeting room on Sunday
September 11, 2005.
The provincial chapter will pay for two people from each chapter to attend
the shoot. All chapter members are invited and encouraged to attend the
sporting clay shoot but an additional fee will be charged. Mike Evans
is working on discounted hotel pricing for those wishing to attend from
various parts of the Province. Maps and agenda's will be available at
a later date. Registration to Mike Evans deadline is to be August 1, 2005.
· Super
Fund Requests -
All super fund requests are
to be into Randy Roloson by August 15th and can be mailed to him at RR
#6, Simcoe, N3Y 4K5 or faxed to 519-582-4558. Mike Evans reported that
superfund requests for chapter events such as WITO and JAKES events go
directly to him for approval at any time of the year and that $400 is
allotted for JAKES events and $550 is allotted for WITO events.
· Provincial
Board Elections -
All nominations are to go to Jake Playne, RR #1, Perkinsfield, Ontario,
L0L 2J0 and first nominations will be at the September meeting.
· Provincial
Scholarship -
A $1000 provincial scholarship was awarded to a student from the Elgin
Wild Turkey Chapter area and was presented and paid from the provincial
account at their banquet. A super fund request form will be completed
and submitted to National for this scholarship.
· Past
Treasurer -
Mike Evens will follow up with the Provincial Crown on this subject as
only the first cheque for payment was issued and received.
· 2004
Gun Draw -
Reimbursement for $247.24 to Kevin Mc??? Will occur once his full name
and address are established and given to the board. This reimbursement
is required as he won a gun in the Provincial draw and the firearm he
won was substituted for a firearm of much less value.
6. New Business
· Calling
Competition -
Canadian Grand Nationals to be held in Maynooth on September 17 in Maynooth.
Chris Patty has requested the use of the NWTF booth for this event and
will contact Kevin Townsend on the where a bouts of the booth.
Chris Patty suggests that at least one member from each chapter attend
and compete at this event. Chris Patty made a motion
that the provincial board pays for 1st, 2nd and 3rd place trophies for
the Sr. division at a cost of $1100.00 USF.
Adrian Lynde seconded the motion, all were in favor and motion was passed.
· 2005
Provincial Gun Draw -
Tom Howe of the Elgin Wild Turkey Chapter will administer the draw again
and apply for the license. Mike Evans received a quote on 30 guns from
Tromblays Tackle Box for $14, 714.25 with taxes. The gun draw format was
discussed
at great length and was determined that it was limited to hunters and
that the 10% rebate to each chapter may be a good incentive for ticket
sales. Tom Howe made a motion that the 2005 provincial gun draw consist
of four (4) Winchester Super X Model 2 Camo Turkey guns (1 drawn each
week) and a balance of Bass Pro Gift certificates, ranging in values from
$200 to $1000 up to a maximum total of $20,000 in total prizes awarded
for the 2005 draw and all prizes to be drawn at the November provincial
board meeting, motion was seconded by Randy Roloson all were in favor
and passed.
· National
Jakes Event -
All chapters are required to submit a JAKES name to the Provincial President
to go into a draw for the 2006 National JAKES day prior to the February
2006 Provincial Meeting at which time the draw will take place.
· Chapter
Presidents Shooting Event -
This event is being organized by Mike Evans for September 10 & 11.
All chapters are encouraged to attend and are requested to bring a door
prize or raffle prize. See registration form included within.
Open discussion
called by Mike Evans -
Tom Howe did a banquet for Chatham at the request of Kevin Townsend who
was unable to attend. Tom ended up with expenses that were to be covered
by Kevin Townsend but was unable to get the credit card information to
the hotel and resulted in this expense for Tom. The Chatham banquet was
to reimburse Tom but did not happen. Previously motions were made to have
the Provincial account cover any expenses incurred in this manner. Randy
Roloson stated that he has talked to national and that Kevin Townsend
is responsible for these expenses and not the Provincial account. This
issue has been discussed to
death in the past and Jack Playne will discuss this with National and
get an official written policy on this issue from National. The board
was disappointed that Kevin Townsend was not able to attend this meeting
and the fact that he did not call Mike to let him know he was not able
to attend. Bass Pro Shop was to donate a percentage of grand opening day
sales, estimated to be $10,000 to the Provincial Board. Kevin Townsend
has told Mike Evans that this will happen and Mike will follow up with
Kevin to find out the status of this.
7. Adjournment

A motion for adjournment was made by Jack Playne at 12:05 pm, seconded
by Tom Howe, all were in favor and Motion Was Passed.
